Worker’s Compensation:
The Worker’s Compensation environment is paper-intensive, and requires ongoing review of incoming medical bills, claims processing, information updates on legacy claims systems, and address inquiries about outstanding claims. The most time-consuming task involves processing new claims received from city departments and associated bills received from medical providers. Other tasks include processing legal counsel pleadings and correspondence, vocational rehabilitation and utilization review. These processes are extremely paper-intensive, time-sensitive and subject to State Regulations for Objection and Payment Due Dates. Challenges inherent in the process include manually routing physical paper documents to multiple teams and individuals as well as external vendors, meeting due dates, creating and utilizing standard correspondence templates for communicating with employees, attorneys and medical providers, managing and reassigning workloads, and locating work items and documents.
Avrio has developed a worker’s compensation solution that resolves common challenges. First, document scanning eliminates the necessity to manually time-stamp bill documents. Second, Avrio’s workflow distribution/routing engine eliminates the manual distribution of work, automatically assigning new tasks to the appropriate teams and calculating critical due dates. Third, automated system actions route, pend and close tasks, which reduce manual processing requirements. Fourth, Avrio allows document images and data to be exported directly to the vendor’s medical bill review system. Once the bill review process is completed, our workflow solutions imports the vendor’s evaluation of bill document image back into the system, matches it to the appropriate work item, and routes it to the bill payment team for processing. Fifth, outbound correspondence formats are standardized and the overall process is automated with an automatic letter generated process, allowing users to select MS Word letter templates and obtain input data from Legacy Claim applications and the work item to create outbound correspondence. Finally, the management and tracking of work is facilitated using a grid control, which allowed managers to view all outstanding and closed work items from a single view and group/sort items based on any field requirement.

Law Enforcement
Avrio’s solutions utilizes electronic forms to facilitate police report data entry via automated data population from sources such as Dispatch System Databases and crime case processing workflow. Police officers are required to fill out many standard forms as part of crime case processing. Most of these forms are filled out by hand, and require officers to re-enter information that can be found on previously completed forms. Using the electronic forms, information previously captured from the Dispatch System or other eForms can be automatically populated into the current eForm. This process saves Police officers a great deal of time, and results in cost savings for the entire department. eProcess workflow solutions route Crime Reports to the appropriate Division Commander based on the type of crime or other considerations for assignment to an officer. Officers can then use eProcesses to manage their existing caseloads. Additionally, related tasks can be assigned to multiple parties and/or routed to other parties, such as court clerks for processing.

Local Government
Avrio’s local government solutions facilitate tax assessor processing, using electronic forms, capture, document imaging, and workflow tools. When tax assessor paper forms are received and captured in image or content services repositories, eProcess workflows are initiated, which route work items to specific tax assessor groups for processing. Tax assesors then reference their worksheets to indicate data entry and follow up processing requirements. Notes sections allow tax assessors and data entry processors to enter additional vital information.
Avrio’s solutions also facilitate the preparation of city agendas, utilizing compound documents, eForms and eProcess workflow tools. City agendas are comprised of multiple agenda items from each city department. In creating a compound document, eProcesses route sub-documents to appropriate city departments so that they can include their agenda items. eProcesses automatically collect each department’s work items (which include agenda sub-documents) and the completed agenda is then forwarded city clerks for review. eForms are used throughout the process as a user friendly interface that collects all necessary documents necessary for collecting internal documents and the eProcess automatically accesses external databases for supplemental information.
