Daylight Transport, headquartered in Long Beach, California, provides among the best transportation and logistics services in the nation. A privately owned company founded in 1977, Daylight is one of the Top 100 Motor Carriers in the nation. The Problem

As part of its monthly operations, Daylight Transport generates customer invoices and, in certain cases, must attach supporting documentation (e.g., Delivery Receipts, Bill of Lading, etc.). For Daylight Transport, matching the printed invoices to the supporting paper documents was a time-consuming and labor-intensive process. To manage the incoming freight-related paperwork and generate accurate invoices, Daylight Transportation and Avrio Corporation teamed up to design and develop a new Invoice Processing System called “the System". The System is comprised of two components: (1) document capture; and (2) invoice generation.

The Solution

Since detailed documentation is crucial to Daylight’s ability to accurately invoice its customers and provide answers to customer inquiries, Avrio Corporation integrated FileNet capture into the System. Incoming documents are either scanned at the central Long Beach site or faxed into Long Beach by Daylight’s Agents located in offices throughout the U.S. Captured documents are automatically indexed with Daylight’s Pro Number by way of bar code technology and integrated with Daylight’s database. Once stored, the documents serve as an online reference for Daylight’s Agents, and as backup material for generated invoices.

As part of the Invoice Processing System, Avrio Corporation developed a custom FileNet COLD (Computer Output to Laser Disk) application to capture and format Daylight’s invoice data. Using the generated invoice data, the System formats the invoice, writes data to an invoice template and flags the invoice if it needs supporting documents. If the invoice requires supporting documents, the Invoice Processing System queries the FileNet Image Repository to locate the documents. If the System locates all required supporting documents, it merges the supporting documents (e.g., Delivery Receipts, etc.) with the COLD-generated invoice and sends the complete packet to the printer. However, if the supporting documents are not stored in FileNet, then the System automatically sends a custom e-mail to the appropriate Daylight Agent indicating which shipping documents are missing. The Invoice Processing System places the invoice on hold until all documents are received, and monitors the invoice until it is completed.

Daylight Customer Service Representatives, external Agents, and even customers are able to retrieve invoices, shipping documents, correspondence from any location using a simple web browser. Daylight has increased their revenues by accurately and efficiently invoicing their clients with the Invoice Processing System and additional savings have been achieved through a reduction in the number of staff required to support the invoice generation and document match processes.
